FOR ORGANISATIONS
Corporate Booking Terms
The important information about confirming, paying for, changing or cancelling a workplace or corporate booking with Me Time.
Please read these terms before confirming a corporate booking.
These terms apply to organisations booking Me Time workplace and corporate wellbeing services. Your quotation may contain additional arrangements specific to your booking. If there is any difference, the booking-specific wording in your quotation or written confirmation will take priority.
-
These Corporate Booking Terms apply to services supplied by Me Time Wellness Ltd, trading as Me Time (“we”, “us” and “our”), to the organisation named in the quotation (“the client”).
Each quotation will describe the proposed service, date or dates, location, price and any booking-specific requirements. The quotation will remain valid until the expiry date shown on it.
A booking is confirmed only when:
• the client has accepted the quotation;
• we have received either the required payment or a valid purchase order that we have agreed to accept; and
• we have issued written booking confirmation.
A quotation or an indication that the client wishes to proceed does not, by itself, confirm the booking.
Once confirmed, the contract consists of the accepted quotation, these Corporate Booking Terms and our written booking confirmation.
If there is any inconsistency, the booking-specific wording in the quotation or confirmation will take priority over these terms.
Terms included in or attached to the client’s purchase order will not override the accepted quotation or these Corporate Booking Terms unless we expressly agree to them in writing.
-
The booking price and the services included will be set out in the quotation. Me Time Wellness Ltd is not currently registered for VAT, so VAT will not be added to the quoted price.
Any agreed travel, parking, toll, congestion, accommodation or other additional charges will be shown in the quotation wherever they can reasonably be identified in advance.
If the client changes the location, times, service requirements or other booking details after accepting the quotation, we may revise the price to reflect any resulting additional work or costs. We will explain the change and obtain the client’s agreement before proceeding.
The client is responsible for parking or site-access charges that were not disclosed before the quotation was accepted and that we reasonably have to pay to deliver the booking.
NON-PURCHASE-ORDER BOOKINGS
For bookings made more than 14 days in advance, the booking is secured when the client accepts our quotation, pays a deposit equal to 50% of the total booking price and receives our written confirmation.
The remaining 50% must be paid no later than 14 days before the confirmed booking date.
For bookings accepted 14 days or fewer before the booking date, the full booking price is payable immediately. The booking will not be confirmed until full payment has been received.
If the remaining balance is not received by the due date, we may cancel the booking and retain the 50% deposit.
PURCHASE-ORDER BOOKINGS
Where we agree to accept a purchase order instead of advance payment, the booking is secured when the client accepts our quotation, provides a valid purchase order covering the full quoted price and receives our written confirmation.
The purchase order must include any information reasonably required for invoicing. Unless otherwise agreed in writing, invoices issued against an accepted purchase order are payable within 30 days of the invoice date.
The client must provide accurate invoicing instructions, including the correct billing address, purchase order number and any required accounts-payable contact or submission process. A delay caused by incomplete or incorrect information supplied by the client will not automatically extend the payment deadline.
The client should tell us promptly if it genuinely disputes an invoice and explain the reason. Any part of the invoice that is not disputed must still be paid by the due date.
We reserve the right to claim statutory interest, fixed compensation and reasonable recovery costs on overdue commercial payments where permitted by law.

CANCELLING A NON-PURCHASE-ORDER BOOKING
If the client cancels:
• at least 21 days before the confirmed booking date, all amounts paid will be refunded;
• between 15 and 20 days before the confirmed booking date, the 50% deposit will be retained; or
• 14 days or fewer before the confirmed booking date, including on the day, the full booking price will be retained.
Non-attendance or failure to provide access to the agreed location will be treated as a cancellation made 14 days or fewer before the booking.
CANCELLING A PURCHASE-ORDER BOOKING
If the client cancels:
• at least 21 days before the confirmed booking date, no cancellation charge will apply;
• between 15 and 20 days before the confirmed booking date, 50% of the total booking price will be invoiced; or
• 14 days or fewer before the confirmed booking date, including on the day, the full booking price will be invoiced.
Non-attendance or failure to provide access to the agreed location will be treated as a cancellation made 14 days or fewer before the booking.
Cancelling or withdrawing a purchase order does not remove the client’s responsibility to pay any cancellation charge that has already become due under these terms.
Any amount retained or invoiced as a cancellation charge will reflect the losses caused by the cancellation, taking account of any costs saved or replacement booking obtained.
RESCHEDULING
The client may request one change to each scheduled booking date without an administration charge by giving us at least seven days’ notice.
The replacement date must take place within eight weeks of the original date and is subject to our availability.
Payments already made, or the relevant part of an accepted purchase order, will be transferred to the replacement date. The client must pay any additional costs resulting from a change to the service, location or other booking requirements.
We will consider requests made with less than seven days’ notice, but any change will be at our discretion and subject to availability and any costs already incurred.
A further request to change the same scheduled date may be treated as a cancellation under these terms.
MULTI-DAY BOOKINGS
Where a booking covers more than one date, each scheduled date will be treated separately for cancellation and rescheduling purposes, using the price allocated to that date in the quotation.
Cancelling or changing one scheduled date will not automatically cancel or change the remaining dates.
Any multi-day discount and any shared or non-recoverable costs will be dealt with as stated in the quotation.
-
The client must:
• provide complete and accurate information about the booking location, parking arrangements, access restrictions and any site rules;
• obtain any permission required for the Me Time vehicle to enter, park and operate at the location;
• provide a suitable, safe and lawful parking space with sufficient access for the vehicle;
• where stated in the quotation or booking confirmation, provide access to a suitable electricity supply for the duration of the booking;
• ensure access is available at the agreed arrival time so that we can park, connect any agreed electricity supply, set up and begin the service as scheduled;
• provide the name and contact details of an authorised onsite contact who will be available during arrival, setup and service delivery;
• inform relevant staff, security personnel, facilities teams or site managers about the booking and our arrival arrangements;
• manage participant scheduling and ensure participants attend at their allocated times; and
• tell us promptly about any change that could affect access, parking, electricity, safety or delivery of the service.
If an agreed electricity supply is unavailable, we will try to deliver the service using the resources available to us. However, the service may need to be shortened, changed or stopped if it cannot be provided safely or effectively.
We may treat the booking as client-cancelled if we cannot safely or lawfully access, park or operate at the agreed location because the client has not fulfilled these responsibilities.
DELAYS AND SERVICE TIME
We will make reasonable efforts to arrive, set up and provide the service at the agreed times.
If the service is delayed because the client, venue or participants are not ready, access or parking is unavailable, or the agreed electricity supply has not been provided, the booking will normally still finish at the confirmed time.
We will try to provide as much of the booked service as reasonably possible, but no refund will ordinarily be given for service time lost because of circumstances within the client’s control.
If we are delayed for reasons within our control, we will try to extend the service or agree another reasonable solution with the client. If a significant part of the service cannot be provided, we will offer an appropriate partial refund, credit or replacement service.
The client should contact us as soon as possible if it becomes aware of anything likely to delay the booking.
-
The client must ensure that participants are given access to our Essential Session Information before taking part.
Each participant is responsible for reading that information and deciding whether to use the service. We do not ask participants to provide health information or explain why they choose not to take part.
Participants must follow reasonable safety and operating instructions given by our team. We may refuse to begin or may stop a session where we reasonably believe that continuing would be unsafe, where a participant cannot follow the instructions, or where their behaviour is abusive, threatening or likely to damage the vehicle or equipment.
The client must provide a suitable waiting arrangement and manage participants so that the vehicle is not overcrowded and sessions can operate safely.
A participant’s decision not to take part does not entitle the client to a refund, but the client may offer the available session to another eligible participant during the booked service time.
The client is responsible for the conduct of its employees, contractors, guests and other people it invites to participate in or attend the booking.
The client must reimburse us for the reasonable cost of repairing, cleaning or replacing the vehicle, equipment or other property where damage is caused deliberately or through negligence or failure to follow reasonable instructions by the client or one of its attendees.
We will provide reasonable evidence of the damage and the associated repair, cleaning or replacement costs. The client will not be responsible for fair wear and tear, equipment failure or damage that it did not cause.
Participants are responsible for their personal belongings. We are not responsible for loss of or damage to belongings left in or around the vehicle unless caused by our negligence.
-
We may need to delay, change, reschedule or cancel a booking because of vehicle or equipment failure, staff illness, unsafe weather or travel conditions, an unsuitable or unsafe location, an emergency, or another circumstance that prevents us from providing the service safely or as agreed.
We will tell the client as soon as reasonably possible and will first try to agree a suitable replacement date or reasonable alternative arrangement.
If we cancel a booking and cannot agree a replacement date, we will refund all amounts paid for the affected service.
Where the booking was made using a purchase order, we will not invoice for the service we have cancelled, or we will issue an appropriate credit if an invoice has already been raised.
For a multi-day booking, a change or cancellation affecting one scheduled date will not automatically affect the remaining dates.
We will not be responsible for costs or losses caused by circumstances outside our reasonable control, but this does not affect the client’s right to receive a refund or credit for any service we do not provide.
-
We will not photograph or record identifiable participants for promotional purposes without their clear permission. Choosing not to be photographed or recorded will not affect a person’s ability to use the service.
The client must not assume that it can give permission on behalf of individual participants unless it is legally authorised to do so.
We will obtain the client’s written permission before using its name, logo, testimonial or details of the booking on our website, social media, advertising, case studies or other promotional materials.
Where the client or a participant publishes a testimonial, photograph or social-media post about Me Time, we will ask for permission before reproducing it in our own marketing unless the platform provides a clearly applicable sharing or reposting function.
Each party must comply with applicable data protection law when handling personal information in connection with the booking.
We will use personal information to manage the enquiry, quotation, booking, service delivery, payment and any related query, complaint, incident or claim. Further information is provided in our Privacy Notice.
We do not require the client or participants to provide health information. The client should not send health information or other unnecessary sensitive personal information to us.
Each party must keep the other party’s confidential business information secure and must not disclose it except where necessary to perform the contract, to professional advisers who are bound by confidentiality, or where disclosure is required by law.
Information that is already public, was lawfully known before disclosure or is received lawfully from another source will not be treated as confidential under this clause.
-
Each party will be responsible for loss or damage that it causes through negligence or breach of these terms.
Neither party will be responsible for losses that could not reasonably have been anticipated when the booking was confirmed, or for losses caused by circumstances outside its reasonable control.
Nothing in these terms limits or excludes liability where doing so would be unlawful, including liability for death or personal injury caused by negligence or for fraud.
Any change to the confirmed booking or these terms must be agreed in writing by both parties.
The accepted quotation, these Corporate Booking Terms and our written booking confirmation form the entire agreement relating to the booking.
If any part of these terms is found to be invalid or unenforceable, the remaining terms will continue to apply.
No person other than Me Time Wellness Ltd and the client has any right to enforce the contract.
These terms and the booking are governed by the law of England and Wales. The courts of England and Wales will have jurisdiction over any dispute.
